What is Payrolling

With payrolling, the legal employment passes from the company and staff enter the employment of the payroll company concerned. Thanks to this, the company relieves itself of specialist legal and administrative matters such as the salary administration, payment of social contributions and, for example, pensions.

Advantages:

• When your own employees are ill, the Eligibility for Permanent Incapacity Benefit (Restriction) Act requires you to continue paying their salaries. On an annual basis, this can, in some sectors, amount to more than 5%. When you use payroll, this obligation to pay ceases immediately and Acture assumes this obligation for you.
• You no longer have to take out an expensive sick leave insurance and you no longer have any health and safety costs.
• You no longer have any salary administration costs (accountant etc.)
• And you no longer have to comply with an expensive CAO, which obliges you to join an expensive pension plan and make deposits into sectoral pension funds.

EasyStaff Payroll charges a fee of maximum 5% of the total wage amount (gross wage plus employers contributions). This means that payroll can initially appear more expensive than when you employ the staff member directly yourself. However..., when you compare our rates with your actual salary costs, you could very well find that payroll is cheaper in practice than employing staff yourself.

EasyStaff Payroll Services is affiliated to the Dutch Association of Intermediary Organisations and Temporary Employment Agencies (NBBU). As member of the NBBU and with our NEN-4400 certification, we have a reputable quality label that guarantees quality and restricts the recipients liability to a minimum.

In addition, we also have a G-account. A G-account is a guarantee account, from which sums can only be transferred to the tax authorities. Clients can deposit a portion of their invoices in this account. This gives you the certainty that the social contributions will be paid.

Before a staff member can start work for you, EasyStaff must be in possession of various documents. A complete registration consists of the following items:

• Legible copy of a valid passport or identity card.
• Registration form with current personal details (i.e. citizen service number [BSN], bank or giro account number, address)
• (If applicable) A completed risk inventory
• (If applicable) A legible copy of a work permit for non-EU nationals
• (If applicable) A legible copy of any Citizen Service Number (BSN) declaration
• When all details have been received by us, a contract will be drawn up for the staff member. Please take into account that we can only pay your staff members if the registration has been completed.

A salary payment can only be made if we are in possession of a signed and approved statement. The statement must show the hours worked by your staff members together with any expenses. You decide in consultation with your staff members when the statement must be submitted. You can do this once a week, once every 4 weeks or once a month - it is entirely up to you. You can find various statement forms on our site under documents; you are, however, completely at liberty to choose your own design for your statements. When a staff member is ill, he or she should naturally report this to you. The administration of EasyStaff should also be informed by telephone on 013 542 33 08. Please also refer to contact. EasyStaff will also inform Acture of the illness; Acture will then determine the basis for possible continued payment of the salary during illness. The basis for payment will be calculated over the average salary paid during the 13 weeks prior to the illness.

When the staff member has recovered, this should be reported immediately to Actures report in better line, tel. 0248909470. EasyStaff should also be informed a.s.a.p. that the staff member has recovered. Please take into account that reporting an illness or recovery too late could influence any payment to the staff member.

EasyStaff is a member of the NBBU. Since we are a member of NBBU, all employees are governed by a fixed CAO. This CAO provides the framework for our contract with the staff member. The CAO gives the staff member rights from which the employer may only deviate if the deviation is more favourable than the provisions in the CAO. Every Thursday, EasyStaff will pay the salaries for all approved statements that have been received before 4 pm on Wednesday afternoon. You can find statement forms under documents on this website.

‘I haven't received my wages'; It generally takes one working day for the amount to be credited to a bank account. If the salary is not received even though the statement of the hours was submitted on time, it is best if the staff member contacts the administration of EasyStaff directly.

‘Is the amount I received correct?'; for this sort of question, it is best to have the staff member contact EasyStaff directly. It is also possible to mail questions to freelance@easystaff.nl

Questions about other 'technical' matters such as tax, insurances and labour law issues, can also best be addressed directly to EasyStaff.

All costs that are directly related to the activities of your staff members can be claimed as expenses. If the staff member has advanced sums of money, these can be paid out as net component. An expense report should always have the original receipts or transport tickets attached. For commuting to and from work, there is currently a maximum net compensation of 0.19 euro per kilometre. If there is a normal balance between expenses and the salary, no mark-up is charged over expenses; the costs are invoiced to you 1 on 1.
